Enchanted Realm Co. Code of Conduct

By purchasing a ticket, applying or registering as a vendor, author, creator, exhibitor, cosplayer, volunteer, sponsor, or participant, joining an official Enchanted Realm Co. online community, or entering an Enchanted Realm Co. event space, you agree to follow this Code of Conduct.

This Code applies to all Enchanted Realm Co. events and official activities, including conventions, festivals, markets, balls, parties, workshops, signings, mixers, photoshoots, meetups, off-site programming, and affiliated activities. It also applies to official online spaces and communications, including Discord, email, social media interactions, virtual programming, and event-related community spaces.

At in-person events, this Code applies throughout the entire event footprint, including event rooms, vendor halls, lobbies, hallways, restrooms, outdoor queues, registration areas, parking or loading areas under our control, and other spaces being used for official event activities.

Individual events may have additional age, safety, venue, cosplay, vendor, or participation policies. Those requirements are considered part of this Code of Conduct.

TL;DR

Be kind. Ask for consent. Respect boundaries, pronouns, accessibility needs, creators, and their work. No harassment, hate, plagiarism, bootlegs, or generative AI-created content. Follow staff directions and venue rules.

Violations may result in removal from an activity or event without refund, cancellation of vendor or author participation, removal from official online communities, and/or a ban from future Enchanted Realm Co. events.

1) Our Community Promise

Enchanted Realm Co. strives to create inclusive, welcoming spaces for readers, authors, artists, creators, cosplayers, vendors, and fans of all backgrounds and identities.

We do not tolerate discrimination, harassment, intimidation, abusive behavior, or conduct that compromises the safety or dignity of another person.

Our events celebrate books, creativity, fandom, art, storytelling, cosplay, and community. Consent, accessibility, respect for creators, and respect for one another are at the center of the Realm.

2) Expected Behavior

All participants are expected to:

Respect people and space. Give others appropriate room in aisles, vendor areas, signing lines, photo areas, seating areas, and other shared spaces.
Use respectful language and behavior. Disagreement is not an excuse for harassment, insults, threats, or personal attacks.
Honor names and pronouns. If someone corrects you, acknowledge it and adjust.
Ask, wait, respect. Always ask before touching another person, their costume, belongings, mobility device, service animal, or other personal property. Wait for a clear yes and respect any no.
Ask before photographing or recording individuals. Consent to attend an event is not consent to an individual photo, video, interview, or social media post.
Respect personal boundaries. No one owes another attendee, author, vendor, creator, cosplayer, or guest physical contact, a photograph, conversation, signature, explanation, or interaction.
Keep aisles and exits clear. Do not obstruct walkways, doors, emergency exits, ADA paths, or vendor access.
Follow staff and venue directions. Safety, accessibility, capacity, and emergency instructions must be followed promptly.

3) Unacceptable Behavior

Examples of prohibited behavior include, but are not limited to:

Harassment, stalking, intimidation, bullying, or sustained unwanted contact, whether online or in person
Hate speech, slurs, discriminatory remarks, or hateful imagery intended to demean or intimidate people based on identity or protected characteristics
Deliberate misgendering or continued use of an incorrect name or pronouns after being corrected
Non-consensual photography or recording
Upskirting or other invasive photography
Photographing or recording minors without permission from their parent or guardian
Unwanted touching, sexual attention, sexual comments, or sexualized behavior directed toward someone without their consent
Sexual content or conduct directed toward or involving minors
Doxxing, threats, blackmail, retaliation, or advocating violence
Deliberately interfering with another participant's business, signing, panel, performance, cosplay, or event experience
Excessive intoxication or disorderly conduct
Possession or use of illegal substances
Theft, vandalism, fraud, counterfeiting, plagiarism, or knowingly selling stolen or infringing work
Unsafe booths, displays, props, equipment, or activities
Refusing to comply with staff, security, venue, accessibility, or emergency instructions

Cosplay Is Not Consent.

Admire, don't assume. Ask before photographing, touching, posing with, hugging, or interacting physically with a cosplayer.

4) Photography, Filming & Press

Official Enchanted Realm Co. photographers and videographers will be identified by staff credentials or badges.

Attendees who do not wish to be intentionally photographed may request a No-Photo sticker or other designated identifier at Registration when available. Our team will make reasonable efforts to honor these requests when capturing identifiable individuals or close-up content.

Because our events take place in active public gathering spaces, we cannot guarantee that attendees will never appear incidentally in wide-angle, crowd, background, or venue photography.

Additionally:

Always obtain express consent before intentionally photographing or filming an individual.
A costume is not permission to take a photograph.
Parents or guardians must consent before minors are intentionally photographed or interviewed.
Respect No-Photo, Semi-Quiet, private, backstage, or restricted-area signage.
Do not photograph private documents, vendor payment screens, personal information, or behind-the-scenes materials without permission.
Media and press must check in at Registration or the designated Media/Press area and follow event staff instructions.
Commercial photography, formal photoshoots, or content production may be subject to additional event-specific policies.

5) Props, Costumes & Safety

Cosplay and creative expression are welcome, provided they can be enjoyed safely.

Real weapons are prohibited.
Functional firearms, live steel intended for use as a weapon, explosives, explosive devices, and functional projectile weapons are prohibited.
Props may be inspected by staff or venue security.
Peace-bonding or other safety measures may be required at staff discretion.
Prop edges and tips must be blunt, secure, and reasonably safe for crowded environments.
Props may not fire arrows, pellets, airsoft ammunition, gels, darts, or other projectiles.
Large wings, trains, tails, armor, props, or other costume elements must be managed appropriately in crowded spaces.
Participants may be asked to adjust or temporarily remove oversized costume elements in vendor aisles, lines, or high-traffic areas.
Body paint, glitter, makeup, fake blood, or other materials must be appropriately sealed and may not create slipping, staining, transfer, respiratory, or other hazards.

Staff may prohibit any prop, costume component, or activity that they reasonably determine presents a safety concern.

6) Minors & Age-Restricted Areas

Age requirements may vary by event.

Minors must be accompanied by a parent or guardian when required by the individual event's age policy.
Parents and guardians remain responsible for the supervision of minors in their care.
Programming, events, vendor areas, or activities designated 18+ or 21+ require valid government-issued identification when requested.
Wristbands or other credentials may be used to identify age-restricted access.
Providing an age-restricted credential to another person is prohibited.
Sexual content, sexual conduct, or sexually explicit interaction directed toward or involving minors is strictly prohibited.

Always check the individual event listing for specific age requirements.

7) Accessibility & Accommodations

Enchanted Realm Co. is committed to making our events as accessible and welcoming as reasonably possible.

Depending on the event and venue, accommodations may include accessible seating, wheelchair access, Semi-Quiet areas, sensory considerations, priority access, or other support.

For accessibility requests, contact kaylyn@enchantedrealmco.com prior to the event whenever possible or visit Registration/Info during the event.

Participants must:

Keep designated ADA routes, seating, entrances, and exits unobstructed.
Never touch, lean on, move, or otherwise interfere with another person's wheelchair, cane, walker, mobility device, communication device, or other accessibility equipment without explicit permission.
Never distract, pet, feed, photograph, or interact with a service animal without permission from its handler.
Respect accessibility seating and areas designated for participants who need them.
Respect sensory and Semi-Quiet areas and any posted guidelines.

Not all disabilities or accessibility needs are visible. Participants are not entitled to demand personal or medical information from someone using an accommodation.

8) Health, Alcohol & Substances

If you are actively ill or experiencing symptoms of a contagious illness, we ask that you prioritize community safety and stay home.

When alcohol is served:

Service will comply with venue requirements and applicable law.
Valid identification may be required.
Outside alcohol is prohibited unless specifically permitted by the venue and event.
Providing alcohol to a minor is prohibited.
Staff, venue personnel, or bartenders may refuse service.
Guests whose intoxication creates a safety issue, disruption, or risk to others may be removed from the event.

Illegal substances are prohibited.

9) Human-Created Work & Generative AI Policy

Enchanted Realm Co. is committed to supporting human artists, authors, designers, makers, photographers, performers, and other creators. Generative AI-created work is not permitted in the creative or commercial spaces we curate.

For purposes of this policy, generative AI refers to tools or systems that generate or materially create images, illustrations, writing, audio, video, designs, voices, music, or other creative content through artificial intelligence or machine-learning generation.

This includes, but is not limited to, AI-generated or materially AI-created:

Artwork and illustrations
Book covers
Written works or substantial portions of written works
Merchandise designs
Character art
Graphics
Logos or branding
Photography or purported photography
Audio, music, or voices
Video
Promotional materials
Marketing assets
Products, prints, stickers, apparel, décor, or other goods
Creative submissions to official Enchanted Realm Co. activities

Vendors, Authors, Artists, Exhibitors & Sponsors

By applying for or participating in an Enchanted Realm Co. event, vendors, authors, artists, exhibitors, creators, and sponsors certify that the creative work they present, promote, distribute, or sell through the event complies with this policy.

Generative AI-created content may not be:

Sold or distributed
Displayed as merchandise or artwork
Used in booth signage or displays
Used for book covers or interior illustrations
Used in promotional graphics or marketing materials submitted to Enchanted Realm Co.
Presented as an original human-created work
Used to fulfill commissions or custom work sold through the event
Incorporated into products being represented as the participant's own creative work

The use of generative AI does not become acceptable because the generated material has been edited, painted over, filtered, traced, composited, or otherwise modified afterward.

Commercially licensed human-created assets, stock photography, fonts, brushes, textures, templates, and similar design resources are permitted when used in accordance with their licenses and when they are not themselves generative AI-created.

Attendees, Cosplayers & Community Participants

This policy also applies to creative work submitted to or featured through official Enchanted Realm Co. activities.

AI-generated or materially AI-created work may not be entered into or submitted for:

Art contests
Craft or maker competitions
Cosplay craftsmanship judging
Writing activities or competitions
Giveaways requiring original creative submissions
Community showcases
Vendor or creator spotlights
Official promotional opportunities
Other activities represented as celebrating original creative work

Attendees may not use Enchanted Realm Co. event spaces or official online communities to sell, solicit commissions for, promote, or distribute generative AI-created creative work.

This policy is not intended to prohibit accessibility technology or ordinary non-creative technical tools, such as assistive communication tools, screen readers, transcription, closed captioning, spelling assistance, or similar accessibility and productivity functions.

Questions, Concerns & Enforcement

If you believe work being sold, displayed, submitted, or promoted at an Enchanted Realm Co. event violates this policy, do not confront the individual directly. Please bring the concern to an Enchanted Realm Co. staff member privately.

When there is a reasonable concern regarding the origin of creative work, Enchanted Realm Co. may ask a participant to provide information demonstrating their creative process, such as sketches, source files, drafts, progress images, process videos, or other reasonable documentation.

Enchanted Realm Co. reserves the right to:

Reject an application
Decline or remove a submitted work
Require prohibited products or promotional materials to be removed from display
Suspend sales of disputed merchandise while a concern is reviewed
Remove a participant from an event
Cancel current or future vendor, author, exhibitor, creator, or sponsor participation
Remove promotional features from official Enchanted Realm Co. platforms
Restrict or ban future participation

Knowingly misrepresenting AI-generated work as human-created work may itself be treated as a violation of this Code of Conduct.

When in doubt, contact Enchanted Realm Co. before submitting an application, product, artwork, promotional asset, or creative entry.

10) Vendors, Authors, Exhibitors & Tabling Etiquette

Vendors, authors, artists, exhibitors, and other tabling participants must comply with this Code as well as the vendor or participant agreement for the individual event.

Participants must:

Keep merchandise, furniture, displays, signage, and storage within their assigned space.
Maintain clear aisles, emergency exits, fire equipment access, and ADA pathways.
Follow all load-in and load-out instructions.
Follow venue fire, electrical, safety, and capacity requirements.
Clearly display pricing whenever reasonably possible.
Provide appropriate content warnings for products containing explicit sexual, graphic, disturbing, or otherwise potentially sensitive material when required by event policy.
Respect neighboring booths and shared spaces.
Keep audio, lighting, scent, fog, special effects, demonstrations, and other booth elements at reasonable levels.
Obtain staff approval before conducting activities that create crowds, lines, amplified sound, food distribution, demonstrations, or other disruptions outside the assigned booth area.

The following are prohibited:

Counterfeit or bootleg merchandise
Plagiarized or stolen work
Generative AI-created work prohibited under Section 9
Merchandise that infringes another creator's intellectual property when the seller does not have authorization or a lawful basis to sell it
Products prohibited by the venue, applicable law, or individual event rules
Unsafe booth setups or displays

Participation in one Enchanted Realm Co. event does not guarantee acceptance into future events.

11) Discord, Social Media & Official Online Spaces

The same expectations for safety, respect, consent, and harassment apply in official Enchanted Realm Co. online spaces.

Participants may not:

Harass, threaten, stalk, or intimidate other members
Engage in hate speech or discriminatory behavior
Doxx or share another person's private information
Encourage brigading or targeted harassment
Spam channels, members, authors, vendors, or staff
Impersonate another person, creator, company, or Enchanted Realm Co. representative
Promote or distribute prohibited generative AI-created creative work
Post material in violation of applicable spoiler, NSFW, promotional, or channel-specific rules

Respect channel topics, spoiler tags, content warnings, and moderator instructions.

Do not engage in backseat moderation. If you believe a rule has been violated, report it to the moderator team rather than escalating the situation publicly.

12) Reporting & Support

If you experience or witness a violation of this Code, please tell us as soon as reasonably possible.

We will listen, document concerns when appropriate, and determine what action is necessary based on the available information and circumstances.

Email may not be monitored continuously during active event hours, so immediate safety concerns should be reported to on-site staff or venue security.

You may bring a friend, support person, or advocate when making a report.

We will make reasonable efforts to respect privacy and limit information to those who need it to evaluate or respond to the situation. Complete confidentiality cannot be guaranteed when disclosure is necessary to protect someone, investigate a serious allegation, comply with venue requirements, or meet legal obligations.

Retaliation against someone for making a good-faith report or participating in an investigation is prohibited.

Knowingly submitting a deliberately false report may also violate this Code. A report that cannot be substantiated is not, by itself, considered a false report.

13) Enforcement

Enchanted Realm Co. staff may take whatever action they reasonably determine is appropriate to protect attendees, participants, staff, creators, and the event.

Depending on the circumstances, actions may include:

Education or a verbal warning
Requiring specific behavior to stop
Requiring prohibited merchandise, signage, props, or materials to be removed
Moving a participant to another location
Temporary removal from an activity or area
Removal from a panel, signing, contest, vendor space, performance, or other programming
Removal from the event without refund
Revocation of credentials
Cancellation of vendor, author, creator, exhibitor, volunteer, press, sponsor, or other participant status
Removal from Enchanted Realm Co. online communities
Restriction or ban from future Enchanted Realm Co. events or programs
Contacting venue security, emergency services, or law enforcement when appropriate

The severity of the response will depend on the nature of the conduct, immediate safety considerations, available information, prior incidents, and other relevant circumstances.

Enchanted Realm Co. is not required to issue a warning before taking further action when conduct is serious enough to warrant immediate intervention.

Decisions made by designated Enchanted Realm Co. event leadership regarding immediate event safety and participation are final during the event.

14) Emergency Procedures

For immediate danger, a medical emergency, fire, or another urgent threat, call 911 first when appropriate, then notify event staff or venue security.

Do not block emergency exits, fire equipment, or evacuation routes.
Follow evacuation, shelter, medical, and emergency instructions from venue staff, Enchanted Realm Co. staff, security personnel, or emergency responders.
Do not intentionally interfere with emergency personnel or emergency procedures.

15) Privacy & Incident Information

Enchanted Realm Co. aims to collect only the information reasonably necessary for event operations, ticketing, applications, communications, safety, and incident response.

We do not sell attendee data.

Incident reports and related information will be handled as privately as reasonably possible and shared only with individuals who need the information to evaluate, investigate, respond to, or document the situation, or when disclosure is otherwise required.

16) Changes to This Code

Enchanted Realm Co. may update this Code of Conduct as our events grow, new circumstances arise, or venue, accessibility, operational, or safety requirements change.

The most current version published by Enchanted Realm Co. will apply.

Event-specific rules, application terms, vendor agreements, venue policies, ticket terms, and safety requirements may supplement this Code. When an event-specific rule is more restrictive, participants are expected to follow the more restrictive requirement.
