Code of Conduct

Effective date: 8/16/25

By purchasing a ticket, registering as a vendor/author/cosplayer, joining our Discord, or entering any Enchanted Realm Co. event space, you agree to follow this Code of Conduct. It applies to all official activities for Ohio’s Most Enchanted Weekend (including the Night Market & Social, the Starborn Soirée, and all affiliated mixers/photoshoots), official online spaces (Discord, email, social), and all areas of our venues (lobbies, hallways, outdoor queues, etc.).

TL;DR

Be kind. Ask for consent. Respect boundaries, pronouns, and accessibility needs. No harassment or hate. Follow staff directions and venue rules. Violations may result in removal without refund and potential bans.

1) Our Community Promise

We strive to create an inclusive, welcoming atmosphere for readers, authors, creators, and fans of all backgrounds and identities. We do not tolerate discrimination, harassment, or abusive behavior. We celebrate cosplay, creativity, and fandom with consent and respect at the center.

2) Expected Behavior

  • Respect people and space. Give others room in aisles and photo areas. Use respectful language and tone.

  • Honor names and pronouns. If you’re corrected, thank them and adjust.

  • Ask, wait, respect. Always ask before touching anyone (people, costumes, mobility devices) or taking photos/video; wait for a clear yes; respect any no.

  • Keep aisles clear. Don’t block walkways, exits, or ADA paths.

  • Follow staff directions. If a staffer or security gives a safety or capacity instruction, follow it promptly.

3) Unacceptable Behavior (Examples)

  • Harassment, stalking, or intimidation (online or in-person)

  • Hate speech, slurs, derogatory comments, or symbols targeting protected characteristics (e.g., race, gender, sexuality, disability, religion)

  • Non-consensual photography or recording; upskirting; photographing minors without guardian permission

  • Unwanted touching or sexual attention; sexual content directed toward minors

  • Doxxing, threats, or advocating violence

  • Excessive intoxication or disorderly conduct; bringing illegal substances

  • Theft, vandalism, counterfeit/bootleg sales, or unsafe setups

 

Cosplay Is Not Consent. Admire, don’t assume. Always ask first for photos or poses.

 

4) Photography, Filming & Press

  • Official photographers/videographers will be identified by badges. You may opt out by using a No-Photo sticker (available at Registration) or by clearly declining.

  • Always obtain express consent before photographing or filming individuals, especially minors. Guardians must consent for minors.

  • Respect posted signage in No-Photo/Semi-Quiet zones.

  • Media/press must check in at Registration and follow staff guidance.

5) Props, Costumes, and Safety

  • Real weapons are prohibited. No live steel, functional firearms, or explosives. Prop inspection may be required; zip ties or peace-bonding may be used at staff discretion.

  • Edges & tips: Props must be blunt and secure. No projectile firing (arrows, airsoft, gels, etc.).

  • Large wings/trains: Be aware of your wingspan/drag; adjust in crowds and in vendor aisles.

  • Body paint & glitter: Seal costumes/makeup. Avoid shedding/glitter dumps that create hazards.

6) Minors & 18+/21+ Areas

  • Minors must be accompanied by a parent/guardian unless otherwise stated by the event’s age policy. Check event listings for specific age restrictions.

  • 18+ or 21+ programming/areas require valid government ID. Wristbands may be used.

  • Sexual content directed at or involving minors is strictly prohibited.

7) Accessibility & Accommodations

  • We are committed to accessibility. Semi-Quiet seating and rest areas will be available (as space allows).

  • For accommodations (ASL, reserved seating, wheelchair access, sensory tools), please email [hello@enchantedrealm.co] at  the event or visit Registration during the event.

  • Do not touch or move mobility aids without explicit permission.

8) Health, Alcohol & Substances

  • If you’re ill, we ask that you stay home for community safety.

  • Alcohol service follows venue and state law; valid ID required. Outside alcohol is not permitted. Staff may refuse service and/or remove intoxicated guests.

  • Illegal substances are prohibited.

9) Vendors, Authors & Tabling Etiquette

  • Keep displays within assigned spaces; maintain clear egress and ADA pathways.

  • Clearly label pricing and content warnings. No bootlegs, plagiarized works, or counterfeit goods.

  • Enchanted Realm Co. does not condone use of AI. If you suspect a vendor or author uses AI in their craft or marketing, please politely bring it to the attention of a staff member. 

  • Respect neighbors: no excessively loud audio, lights, or scents.

  • Follow load-in/load-out instructions and all fire/safety rules.

10) Discord & Online Spaces

  • The same rules apply online. No harassment, spam, or hate speech.

  • Respect channels and tags (e.g., spoiler/NSFW labels where permitted). No doxxing or brigading.

  • Follow moderator instructions; avoid backseat modding.

11) Reporting & Support

  • If you experience or witness a violation, tell us as soon as possible. We will listen, document, and act.

  • How to report:

    • In person: Find any staffer (badged) or go to Registration/Info Desk.

    • Discord: DM Mod or Admin

    • Email: [hello@enchantedrealm.co] (may not be monitored during event hours).

  • You may bring a friend/advocate. We will respect requests for privacy to the extent possible while ensuring safety.

12) Enforcement

  • Staff may take any action deemed necessary for safety, including:

    • Verbal warning and education

    • Escort to a different area or time-out/cool-down

    • Removal from specific activity or the event without refund

    • Ban from future events (duration at organizer’s discretion)

    • Contacting venue security or law enforcement

  • Decisions by the Event Safety Team are final during the event.

13) Emergency Procedures

  • For immediate danger or medical emergencies, call 911 first, then notify event staff.

  • Venue emergency exits are posted; do not block them. Follow all evacuation instructions from staff/venue/security.

14) Privacy & Data

  • We collect the minimum necessary information for ticketing and safety. We do not sell attendee data.

  • Incident reports are kept confidential and shared only with those who need to know to respond appropriately.

15) Changes to this Code

We may update this Code to reflect safety guidance or venue requirements. The most current version will be posted on our website/Discord and at Registration.
